To help drive this transformation, we're looking for a Bid Document Controller to join our growing team. This role is key to supporting and coordinating the successful delivery of large-scale franchising and contract-based bids, ensuring First Bus continues to deliver high-quality, efficient services to communities nationwide.

What You'll Be Doing:
- Document Management: Control internal and external documents for each bid phase, ensuring proper storage and accessibility. This includes:
- Submission documentation for bids
- Collateral for stakeholder sessions
- Internal documents for governance stages
- Version Control: Track document versions, revisions, and changes to ensure accuracy and compliance with project requirements.
- Distribution: Ensure all team members have timely access to necessary documentation.
- Procedure Implementation: Implement and enforce document control procedures for document creation, revision, and approval.
- Communication: Keep team members informed about new document versions and access procedures.
- Confidentiality: Maintain strict confidentiality of sensitive documents and ensure the secure organization of both paper and electronic records
What We're Looking For:
Essentials;
- 2-5 years previous experience of working on bids or complex projects
- Strong attention to detail & organisational skills
- Works well under pressure
- Proficiency in Microsoft Office and database management
- Communication and teamwork skills to coordinate with multiple stakeholders
- Can prioritise tasks to meet deadlines and managing documentation for multiple clients and projects simultaneously
- Adaptability/Flexibility within the working environment
Desirables;
- Experience with Document Control Systems (e.g. Teams, SharePoint, Aconex, EDMS etc.)
- Knowledge of compliance and document management best practices
- Experience working within a Transport Environment
