The Workday People Process Analyst plays a key role in designing, optimising, and maintaining end-to-end people processes with a particular focus on absence and payroll within Workday. As part of a growing People Systems function, the role ensures that workflows are efficient, user-centred, compliant, and aligned with organisational policies and operational needs.
Acting as a bridge between HR, Payroll, Operations, IT the Analyst supports First Bus in maximising the value of Workday through continuous improvement, robust process design, and effective deployment of new or enhanced functionality.
Key Responsibilities
- Analyse, map, and document existing HR processes across absence and payroll, identifying pain points, inefficiencies, and opportunities for optimisation.
- Conduct root-cause analysis of process issues and recommend solutions aligned with organisational policy and Workday best practice.
- Work with operational teams to understand real-world user journeys and incorporate feedback into process enhancements.
- Workday Configuration & Testing
- Configure, update, and maintain Workday business processes, condition rules, notifications, and workflow steps within the absence and payroll domains.
- Support Workday releases by assessing upstream and downstream impacts and ensuring processes remain stable and compliant.
- Facilitate or support process design workshops to define future-state workflows and requirements.
- Work collaboratively with HR, Payroll, Operations, and Technology teams to ensure alignment across functions.
- Translate business requirements into clear Workday configuration specifications or process recommendations.
- Maintain high-quality process documentation, including SOPs, process maps, configuration logs, and training material.
- Develop user training materials, guides, and communications related to process or system changes.
- Ensure all process designs adhere to governance, audit standards, and data protection requirements.
Skills, Experience & Qualifications
- Solid experience in HR process analysis, HR systems roles, or Workday configuration (preferably within absence or payroll).
- Hands-on experience in Workday Absence and/or Workday Payroll configuration is highly desirable.
- Knowledge of HR operations, payroll cycles, and compliance requirements.
- Proficiency with process mapping tools (e.g., Visio, Lucidchart, Miro) and strong familiarity with Workday Business Process Framework.
- Demonstrated analytical and critical-thinking capabilities, with the ability to interpret data and diagnose complex process issues.
- Strong communication skills with the ability to work cross-functionally, manage multiple priorities, and influence stakeholders at all levels.
- High attention to detail and a methodical approach to documentation and testing.
- Experience working in an agile environment focusing on large scale systems transformation or process redesign.
